The Admin Executive will manage daily administrative operations, documentation, compliance, logistics, vendor coordination, and support project-specific tasks (including DDU-GKY project). This role demands excellent organizational skills, attention to detail, and the ability to multitask effectively in a non-profit environment.
Maintain and update organizational databases and filing systems
Index, approve, and store documentation securely
Support audits, proposals, and internal reviews with required documentation
Track agreements, insurance, service schedules, and compliance timelines
Prepare documentation for contracts and vendor files
Manage payments and allocations
Coordinate logistics for materials, inventory, and office maintenance
Handle vendor management, procurements, and inter-team communication
Support scheduling of internal meetings, presentations, and IEC materials
Maintain vendor/beneficiary banking records
Organize internal financial and administrative documentation
Verify travel claims and expenses
Track and validate project attendance and performance metrics
Proficiency in MS Office, digital tools, and basic procurement processes
Strong communication and interpersonal skills
Attention to detail and ability to maintain confidentiality
Ability to work independently and manage office and field operations
