Background

Foundation for Reproductive Health Services India (FRHS India) is a registered not-for-profit organization operating since 2009. FRHS India is an affiliate of MSI Reproductive Choices (MSI), a global organization providing personalized contraception and safe abortion services to women and girls. MSI’s local teams of professionals are passionate about the work they do in communities across 37 countries. The high-quality services we provide, give a woman the power to choose if and when she has children so that she’s free to pursue her plans and dreams for herself and her family. Our mission is “Children by Choice, not Chance”.

FRHS India is the No. 1 non-governmental provider of Clinical Family Planning services. We provide quality family planning and safe and legal abortion services to women in need, through multiple channels that comprise of our own clinics, clinical outreach teams and public sector support to Government facilities. We are currently working in the states of Rajasthan, Bihar, Jharkhand, Uttar Pradesh, and Madhya Pradesh in Public Private Partnership with state governments. In 2022, our teams directly provided family planning choices and quality services to over 179,239 clients that delivered a Couple Year Protection (CYP) of over 2.17 million.

A large number of women in India are unable to exercise their sexual and reproductive rights due a number of barriers – social, cultural, policy, and access to information and services. Thus, we work in partnership withstakeholders to improve the policy environment towards enabling women to exercise their reproductive rightsand choices. FRHS India also implements advocacy projects to advance sexual and reproductive rights in the country.

JOB SUMMARY :

The incumbent is responsible for the part of the workplace management team that supports in managing the projects. The role will entail supporting the reporting manager to planning and implementation of the program at the block & district levels. A professional, friendly attitude and effective communication and coordination skills are the keys to becoming successful in this role.

KEY RESPONSIBILITIES :

Program Support :

• Supporting Program Coordinator in implementing district strategies.

• Ensuring and supporting the team in leaving for FDS (Fixed Day Service) on time.

• Supporting the COT (Clinical Outreach Team) in preparation of FDSs.

• If required, accompany the COT team at FDSs and visiting the field for report compilation & data management from Partners of the concern districts of the Project.

• Monitor to ensure that follow-up of clients is done by nurses.

• Ensuring that FDS Coordinator reviews two case cards in every FDS site and Client Exit survey.

• Data validation of IUCD services to be done on regular basis.

• Ensuring and collection of NHM certificate of each FDS.

• Ensuring and update clients database & other reports.

• Submission of Monthly Progress Report.

Office Administration :

• Organize office filling system, maintenance of inward/outward registers, receipt and dispatches of correspondence, maintenance of office stationery etc.

• Ensure proper maintenance of office property which includes building, office furniture and equipment, computers etc. through regular monitoring and upkeep.

• Maintaining records of all movable & immovable assets at office and ensure assets register and asset numbering is up to date.

• Supervision and Ensuring maintenance, washing, and cleaning of the vehicles. Ensure preventive maintenance and service on time. Maintaining all the records required –driving license, vehicle registration, pollution certificate, logbooks, and any other document as applicable.

• Ensuring upkeep of monthly Ambulance checklists file regularly

Office Coordination :

• Supporting Program Coordinator and State Finance officer in opening bank accounts of staffs.

• Collect and authorize all travel and FDS expenses of the team and submit to Program Coordinator timely.

• Supporting State HR representatives for leave and attendance record management of respective district.

• Support in maintenance of accounts and preparation of bills/ vouchers etc.

• Coordinate the reporting and other follow ups of the Project.

• Arranging on-call teams in absence of any team member.

• Follow up to ensure timely receipts of reimbursement from District level health officials.

QUALIFICATION AND EXPERIENCE :

• Graduate in any discipline/MSW with 3 years of experience in development sector.

• Knowledge of Family planning (FP) services.

• Good interpersonal and communication skills (both oral and written in English & Hindi).

• Analytical, creative, and problem-solving.

• Computer Skills (MS Office).
