Job Description
The Admin, Logistic and Procurement Assistant will support the senior team and program team to efficiently manage tasks and complete deliverables. Responsibilities include:
- Daily office maintenance and preventive checks
- Maintaining incoming, outgoing, and visitor registers
- Monitoring procurement processes in state projects
- Safekeeping and filing project and office documents
- Updating records of service providers and coordinating necessary documents
- Booking vehicles, tickets, and hotels for visitors
- Coordinating with vendors for quotes/proposals
- Building systems for admin and procurement document upkeep
- Maintaining office and project asset/stock inventory, including physical verification
- Processing staff reimbursements and petty cash management
- Handling centralized bulk procurements and issuing service agreements
- Organizing venues and arrangements for workshops and events
- Managing admin-related work for projects and the state office
- Creating a vendor/service provider database
- Performing tasks assigned by the Senior Leadership Team
Qualifications/Experience/Skills/Knowledge
- Graduate from a recognized university
- 3-4 years of experience in admin, logistics, and procurement, preferably in the development sector
- Good oral and written communication skills
- Sound computer skills, including Internet and MS Office
- Basic knowledge of Non-Governmental Organizations' functioning
- Excellent communication, interpersonal, and teamwork skills
- Ability to work with diverse backgrounds openly
